More and more companies, organizations, and professionals are harnessing artificial intelligence (AI) to organize their schedules and workflows, optimize and automate tasks, and increase productivity. According to the 2024 Work Trend Index Annual Report from Microsoft and LinkedIn, 75 percent of knowledge workers—professionals who have a wealth of experience and a knowledge base that contributes to their success—use generative AI for work [1]. Survey respondents reported using AI tools for work to save time (90 percent), prioritize work (85 percent), and increase their creativity (84 percent).

Expert AI assistants for knowledge management

You can train an AI model on your company’s data, files, or applications like email inboxes. Popular large language models like ChatGPT and Google Gemini use information available on the internet to supply you with an answer to a question or generate text. You can apply these and other models to your company’s information to create a chatbot expert to talk to you about company data, similarly to how you might talk with a coworker. 

For example, Bloomberg is a media company that covers financial news and data. It created an AI agent called BloombergGPT that uses all of the content Bloomberg has published over the years to provide helpful information in a chatbot-style tool. Users can be confident the AI model will return vetted and trusted information from Bloomberg instead of drawing data from another corner of the internet. 

AI tools for knowledge management include: 

  • Notion AI: Notion AI offers a workplace where you can create documents and store and organize information. The AI agent trains on your files and data and can help you find information, generate text, analyze your data, and more in a conversational way. 

  • Microsoft Copilot: You can integrate Microsoft Copilot into other Microsoft apps like Word, Excel, and PowerPoint so the AI can become an expert on your company’s data and help you with a wide range of organization, automation, and optimization tasks. 

  • Moveworks Copilot: Moveworks is a platform that can understand your data and files and offer expert advice, automation, and collaboration resources with a suite of tools and integrations. 

  • Google Gemini: You can integrate Google’s Gemini model across the apps in your Google Workspace to add conversational insight and functionality. For example, you can ask Google to keep track of the major topics in your email inbox or to summarize conversations that span multiple email threads. 

  • ChatGPT: You can use your company’s data and information to fine-tune ChatGPT to provide answers and responses based on that information. For example, you could ask the AI model to write a blog post based on your marketing plan. 

  • Claude: Claude is another option for integrating into various other applications so you can train the model on your company data. It stands apart from competitors with its large context window, allowing the model to consider more data before answering your prompt. 

AI tools for project management

Using AI tools for project management can help you break projects down into manageable tasks, track where you spend your time, plan how you will spend your time in the future, and collaborate with other professionals. You can also find project management tools that are focused on specific tasks, such as scheduling.

Examples of project management platforms that feature AI tools include Asana, Zoho Projects, Zapier, and AI Agent. Learn more about these platforms:

  • AI Agent: AI Agent is a tool for automating workflows that allows you to create virtual agents that can help you accomplish tasks. 

AI tools for scheduling

AI scheduling tools can help you take control of your calendar and find the time to get more done. Three potential tools to help you manage scheduling include Reclaim, Clockwise, and Motion.

  • Reclaim AI: A calendar with analytics and time tracking, among other features

  • Clockwise: An AI-powered calendar that features smart scheduling you can automatically set based on your needs 

  • Motion: Another option for smart scheduling that uses your history to optimize your schedule
